Workday Recruiting Pricing and Workday Recruiting Cost per Employee, per Module and per Hire
Workday does not publish a price for Recruiting, and it does not sell the module on its own: you license it as part of a Workday HCM subscription, priced per employee per month across your whole headcount. Redress Compliance, from 25 buyer reviews, puts the Recruiting module at a median of $9.20 per employee a month, with a band of $4 to $16 and $12 to $16 for companies under 5,000 employees. At that band a 1,000-employee company pays $144,000 to $192,000 a year for Recruiting alone. HCM, implementation and AI add-ons such as HiredScore and Paradox are billed on top. We read every figure on 15 October 2026.
Workday Recruiting is the applicant tracking module inside Workday Human Capital Management. It handles requisitions, approvals, the candidate pipeline, interview scheduling and offers, and it writes the new hire straight into the same HR record that payroll and benefits use. That single record is the reason companies buy it, and it is also why the price is hard to find: Workday prices the module per employee on top of an HCM contract that already runs to six figures.
Workday's own site offers a demo request and no prices (its US pricing URL returned a not-found page when we checked on 15 October 2026). The public figures that do exist measure different things: some are per employee for the module, some are the whole HCM suite, and one is an annual "median" from four forum posts. This page puts them side by side, says what each one measures, and works out the cost by headcount, by module, over three years and per hire.

How much does Workday Recruiting cost?
Workday Recruiting typically costs $4 to $16 per employee per month, with a median of $9.20, according to 25 buyer reviews compiled by Redress Compliance. Companies under 5,000 employees sit at the top of that range, $12 to $16. The fee is charged on every employee in the company, not on recruiters, and only on top of a Workday HCM subscription.
| Public figure | Value | What it measures | Source |
|---|---|---|---|
| Recruiting module, per employee a month | $4 to $16, median $9.20 | The Recruiting module only | Redress Compliance, 25 reviews, 3 February 2026 |
| Recruiting module, under 5,000 employees | $12 to $16 | The Recruiting module only | Same Redress page |
| Workday HCM with Recruiting, under 500 employees | $150,000 to $300,000 a year | The whole HCM suite | OutSail, as cited by Pin (updated 7 June 2026) |
| Workday HCM with Recruiting, 500 to 2,500 employees | $300,000 to $500,000 a year | The whole HCM suite | Same source |
| Implementation, mid-market | $300,000 to $800,000 in year one | The whole HCM rollout | Kandor Solutions, as cited by Pin |
| "Median contract" | $8,500 a year | Four community cost mentions | Costbench (labelled thin data on its own page) |
| Candidate Engagement add-on | $150 per user a month | Recruiter seats for outreach | Alpha Apex Group, as cited by Pin |
Two different questions hide behind "how much is Workday Recruiting". If you already run Workday HCM, the answer is the module rate times your headcount, the first two rows. If you do not, the answer is the HCM rows, because there is no way to buy the module alone.
Workday Recruiting cost by company size
At the $12 to $16 band Redress reports for companies under 5,000 employees, the Recruiting module alone costs $28,800 to $38,400 a year at 200 employees, $72,000 to $96,000 at 500 and $144,000 to $192,000 at 1,000. The table multiplies the band by twelve months and by headcount.
| Employees | At $12 per employee a month | At $16 per employee a month | At the $9.20 median |
|---|---|---|---|
| 200 | $28,800 | $38,400 | $22,080 |
| 300 | $43,200 | $57,600 | $33,120 |
| 500 | $72,000 | $96,000 | $55,200 |
| 1,000 | $144,000 | $192,000 | $110,400 |
| 2,500 | $360,000 | $480,000 | $276,000 |
Above 5,000 employees the rate steps down: Redress reports $8 to $12 from 5,000 to 25,000 employees, $5 to $8 from 25,000 to 100,000 and $4 to $6 beyond that. The median column is shown for reference only, because the median is pulled down by the large accounts and a company of a few hundred people is unlikely to get it. Workday counts headcount in full-service equivalents, so part-time and contingent workers count at a fraction of a full-time employee; ask for the exact weighting in writing.
Why the $8,500 a year figure does not fit Workday Recruiting
At Redress's small-company band, $8,500 a year pays the Recruiting module for only 44 to 59 employees, and even at the $9.20 median it covers about 77. Costbench, which publishes that $8,500 median, describes its own smallest Workday tier as companies of 200 to 500 employees, where the same band gives $28,800 to $96,000 a year.
The $8,500 figure comes from four community cost mentions on forums, and Costbench marks it as thin data. It is probably a renewal increment, a partial line item or a misreported number, not a full Recruiting contract. If a guide or a colleague quotes it as a budget, it will be off by a factor of three at 200 employees and more than ten at 1,000.
The opposite error is just as common. The $150,000 to $500,000 a year figures that open most Workday guides describe the whole HCM suite with Recruiting included, not the module. A company that already pays for Workday HCM should budget the module rate times headcount, which is the table above, and treat the suite figures as irrelevant to that decision.
Can you buy Workday Recruiting without Workday HCM?
No. Workday Recruiting is licensed only as part of a Workday HCM subscription, so a company that is not on Workday cannot buy it as a standalone applicant tracking system. The new hire record, the position and the compensation data it uses all live in HCM.
Two pieces of Workday's hiring stack are an exception. HiredScore AI for Recruiting, which Workday acquired in 2024, is also sold to companies that do not use Workday HCM, according to ERP Research. And Paradox, the conversational AI and scheduling product Workday finished acquiring on 1 October 2025, still runs for high-volume hiring on other systems. Neither replaces an ATS. If you are not on Workday and want an ATS, compare Greenhouse pricing, iCIMS pricing and Jobvite pricing, which all sell on their own.
What Workday Recruiting add-ons cost
The core Recruiting module covers requisitions, the candidate pipeline, scheduling, offers and standard reports. Onboarding, Talent Optimization, Skills Cloud, Candidate Engagement, HiredScore and Paradox are all separate lines, and integrations to job boards and background checks add 15 to 35 percent.
| Add-on | Typical rate | Yearly at 1,000 employees |
|---|---|---|
| Onboarding | $2 to $4 per employee a month | $24,000 to $48,000 |
| Talent Optimization | $3 to $6 per employee a month | $36,000 to $72,000 |
| Skills Cloud | $2 to $5 per employee a month | $24,000 to $60,000 |
| Candidate Engagement | $150 per recruiter a month | $7,200 for 4 recruiters, $18,000 for 10 |
| HiredScore, Paradox, Prism Analytics | Separate licence, not published | Quoted |
Per-employee rates are from Redress Compliance; the Candidate Engagement list price is from Alpha Apex Group. Taken together, Recruiting plus Onboarding plus Skills Cloud at 1,000 employees runs $192,000 to $300,000 a year before integrations. Redress reports that buying the modules as one bundle comes in 25 to 40 percent below the per-module sum, so a bundle quote is worth asking for even if you only plan to switch on Onboarding later. Remote employers usually need Onboarding first, because verifying I-9 documents for someone you never meet in person has to run through an authorized representative or E-Verify's remote option.
What Workday Recruiting costs over three years
For a 1,000-employee company at $12 to $16 per employee a month, three years of the Recruiting module cost about $445,000 to $629,000, depending on the renewal increase. Workday contracts usually run three years with yearly uplifts of 3 to 9 percent.
| Scenario, 1,000 employees | Year 1 | Year 2 | Year 3 | Three-year total |
|---|---|---|---|---|
| $12 band, 3% cap | $144,000 | $148,320 | $152,770 | $445,090 |
| $12 band, 9% uplift | $144,000 | $156,960 | $171,086 | $472,046 |
| $16 band, 3% cap | $192,000 | $197,760 | $203,693 | $593,453 |
| $16 band, 9% uplift | $192,000 | $209,280 | $228,115 | $629,395 |
Redress reports renewal uplifts of 4 to 9 percent when the order form has no cap, and recommends capping at 3 to 5 percent. At the $16 band the gap between a 3 percent cap and a 9 percent uplift is about $36,000 over one term, and it compounds into the next. Costbench lists a three-year initial term and a 60 to 180 day notice window before auto-renewal, so put the notice date in the calendar the day you sign.
What Workday Recruiting costs per hire
A 300-employee company that makes 40 to 60 hires a year pays about $720 to $1,440 per hire for the Recruiting module alone at the $12 to $16 band. A 1,000-employee company making 100 hires pays $1,440 to $1,920 per hire.
Because the fee follows headcount rather than hiring volume, the cost per hire rises in a slow hiring year and falls in a busy one. A company that freezes hiring still pays the full module fee. That is the main reason finance teams question Workday Recruiting at renewal, and it is worth modelling before signing. Our cost per hire calculator puts software, job ads and recruiter time in one number, and our cost per hire guide shows what goes into the formula.
None of that spend brings applicants on its own. Workday Recruiting processes the people who apply; it does not find them. Job advertising is a separate budget line, and Redress puts paid connectors to individual job boards at $20,000 to $100,000 a year per board for large accounts.
Is Workday Recruiting worth it?
Workday Recruiting is worth it for a company already on Workday HCM that hires steadily and values one employee record from application to payroll. For a company under about 200 employees, or one not on Workday, a standalone ATS usually costs less: Greenhouse's Vendr median of $26,570 a year matches the Recruiting module at only 138 to 185 employees at the $12 to $16 band.
Signals for Workday Recruiting: HR, payroll and benefits already run in Workday, internal mobility matters as much as external hiring, and auditors want one trail from requisition to offer. Signals against: hiring is seasonal, recruiters want a lighter interface, or you need a structured interview product that Workday does not match out of the box. Plenty of Workday customers keep a separate ATS and pass hires into HCM through an integration. Our comparison of Workday vs Greenhouse works through that choice with the numbers.
How to get remote applicants into Workday Recruiting
Post the role where remote candidates look and add the applicants you want to your Workday requisition. A listing on our board costs $199 a month for one live remote role, or $99 a month billed yearly, which is less than one month of the Recruiting module for a 20-person company at the $12 band.
Every application arrives by email and in your employer dashboard with the resume and links. Our Enterprise plan pushes candidates into Greenhouse, Lever and Ashby automatically; Workday is not on that list, so Workday teams add candidates from the dashboard or by their own import. Every listing shows a salary range, which the pay transparency states require, and readers here want fully-remote work only, so you do not screen people who wanted an office job. Teams hiring several remote roles a month can compare our plans.
Questions buyers ask about Workday Recruiting pricing
- How much does Workday Recruiting cost per employee?
- Redress Compliance, from 25 buyer reviews, puts Workday Recruiting at $4 to $16 per employee a month with a median of $9.20. Companies under 5,000 employees typically pay $12 to $16. The rate applies to the whole headcount and sits on top of Workday HCM.
- Is Workday Recruiting sold separately?
- No. Workday Recruiting is licensed only as part of a Workday HCM subscription. HiredScore AI for Recruiting and Paradox, both owned by Workday, can be bought by companies on other systems, but the Recruiting ATS itself cannot.
- Does Workday publish its pricing?
- No. Workday offers demos and sales quotes, and its US pricing URL returned a not-found page on 15 October 2026. Every public figure comes from buyer reviews, procurement advisors or forum reports, and they measure different things, so check whether a number covers the module or the whole HCM suite.
- How much does Workday cost for 500 employees?
- At $12 to $16 per employee a month, the Recruiting module alone is $72,000 to $96,000 a year for 500 employees. OutSail puts the whole HCM suite with Recruiting at $150,000 to $300,000 a year below 500 employees and $300,000 to $500,000 from 500 to 2,500.
- Is HiredScore included in Workday Recruiting?
- No. HiredScore AI for Recruiting is a separate licence, and so are Paradox, Candidate Engagement at $150 per recruiter a month and Prism Analytics. Ask for each add-on as its own line in the quote, and ask for bundle pricing, which Redress reports at 25 to 40 percent below the per-module sum.
- Is Workday Recruiting cheaper than Greenhouse?
- Only for small headcounts. Greenhouse's Vendr median is $26,570 a year, which equals the Workday Recruiting module at 138 to 185 employees on the $12 to $16 band. Above that, Workday costs more per year, before counting the HCM subscription it requires.
