SmartRecruiters Pricing and SmartRecruiters Cost for Essential, Professional, High Volume and Complete

SmartRecruiters publishes one price. Its Essential plan starts at $14,995, a figure buyers and pricing guides treat as a yearly license, which works out to about $1,250 a month. Professional, High Volume and Complete are quoted after a demo, and there is no free plan on the pricing page. Vendr, which tracks software purchases, reports per-seat annual contracts from about $15,000 to well over $100,000 a year, implementation of $5,000 to $20,000 for small deployments and renewal increases of 3 to 7% a year. SmartRecruiters is the applicant tracking system a lot of mid-size and high-volume US employers shortlist, and since September 2025 it belongs to SAP. Its pricing page names four plans, Essential, Professional, High Volume and Complete, prints a number under the first one and asks for a sales call on the other three.

That single number, $14,995, is the most useful fact on the page and the one most guides bury. This page puts it in context: what each plan includes according to SmartRecruiters' own plan table, what happened to the free SmartStart plan older articles still mention, what a contract costs over three years once implementation and renewal increases are added, and how the price compares with Greenhouse, Lever, Ashby and Workable. Two things the page leaves out. It does not print a billing unit next to $14,995, so confirm in writing that the figure is the full yearly license for your company size and not a starting point that grows with seats or headcount. And it does not say how the quoted plans are measured. Vendr describes SmartRecruiters contracts as annual licenses priced per recruiter seat, while the demo form asks for your number of employees, so expect both numbers to come up on the call.

What is included in each SmartRecruiters plan?

Essential already includes the applicant tracking system, the candidate CRM, offer management, onboarding and an agency portal. Professional adds the AI hiring agent and AI talent matching, High Volume adds AI candidate screening and conversational AI chat, and Complete adds advanced analytics and in-app guidance. Each plan includes everything in the one below it.

Read the last two rows before you settle on Essential. SmartRecruiters rates its SMS and job distribution allowances as low on the published plan and does not give the numbers, so a team that texts candidates or pushes every opening to several boards should ask for the actual caps. The other row worth a second look is the advanced sandbox, which is an add-on even on Complete, the top plan.

Does SmartRecruiters have a free version?

No. The SmartRecruiters pricing page lists four paid plans and no free tier, and the cheapest starts at $14,995. Older reviews describe a free plan called SmartStart for small teams with a handful of open jobs. It is not on the pricing page today, and the smartrecruiters.com/smartstart address now loads a general product page rather than a sign-up.

If you need applicant tracking for a few roles a year and no budget for a five-figure license, a published-price tool fits better. Workable Standard is $3,588 a year for companies with 1 to 20 employees, and Ashby Foundations starts at $300 a month for up to 10 employees; our Workable pricing and Ashby pricing pages work out the real totals.

What a SmartRecruiters contract costs over three years

Starting at $14,995 and adding the 3 to 7% yearly increases Vendr reports, three years of SmartRecruiters Essential cost about $46,300 to $48,200 in subscription, or about $51,300 to $68,200 once a $5,000 to $20,000 implementation is included.

The implementation range is Vendr's figure for small deployments of 3 to 10 seats. Vendr puts mid-market rollouts of 10 to 25 seats at $20,000 to $75,000, and says professional services can add 15 to 30% to first-year cost on enterprise deals. Those fees are also the most negotiable line: Vendr reports buyers who ask for a detailed scope of work and compare third-party implementers often cut them by 20 to 40%. Ask for a renewal cap in the first contract, because it is far harder to win at renewal.

SmartRecruiters acquired by SAP and what it means for pricing

SAP completed its acquisition of SmartRecruiters on 11 September 2025. SmartRecruiters is still sold as its own product, it works with SAP SuccessFactors or any other HR system, and its pricing page is unchanged in structure.

For a buyer the practical effect is about contract terms rather than list price. If you already run SAP SuccessFactors, ask whether SmartRecruiters can be added to your existing SAP agreement and whether that changes the discount. If you do not, ask what happens to your price and data if SmartRecruiters is later folded into the SuccessFactors suite. Some industry commentary expects SAP to revise the licensing structure, which SmartRecruiters has not announced, so a price-protection clause covering the full term is worth asking for now.

SmartRecruiters vs Greenhouse, Lever, Ashby and Workable pricing

SmartRecruiters Essential at $14,995 a year costs about four times Workable Standard and more than every published Ashby band, sits $405 below Lever's median contract, and is a little over half the median Greenhouse deal.

Published prices and buyer medians are not the same kind of number, so read the table as a range of budgets rather than a ranking. The fair comparison is what you get at the price. Is SmartRecruiters worth it?

SmartRecruiters is worth its price for an employer with several hundred people or more that hires in volume, runs many requisitions at once or needs onboarding and an agency portal in the same system. For a company under about 50 employees filling a few roles a year, a published-price ATS costs a quarter as much and does the job.

The signals that point to SmartRecruiters: seasonal or shift hiring where AI screening and candidate chat save recruiter hours, an SAP SuccessFactors estate you want recruiting to sit beside, outside recruiting agencies that need their own portal, or a talent team large enough that a $15,000 entry license is a small share of recruiting cost. The signals against: one person does the recruiting, roles are few and similar, and the real constraint is getting enough qualified applicants, which an ATS does not change.

How to get remote applicants into SmartRecruiters

Post the role where remote candidates look and add the applicants to SmartRecruiters as they come in. A listing on our board costs $199 a month for one live remote role, or $99 a month billed yearly.

Essential carries a low job distribution allowance, so a few targeted paid listings often matter more than wide syndication. Every application here arrives by email and in your employer dashboard with the resume and links, and each listing shows the salary range, which several states now require.
